BOOKING TERMS AND CONDITIONS

These Booking Terms and Conditions apply to all courses, qualifications and services booked with SRP Training ("SRP Training", "SRP", "we", "us" or "our").
They apply to bookings made through our website, by telephone, email, invoice, payment link, bank transfer, in person, or through a third-party booking platform, broker, employer, training provider or other intermediary where these Terms have been incorporated into the booking.
By making or authorising a booking or payment after being provided with these Terms, the customer confirms that they have had the opportunity to read and understand them and agrees to be bound by them.
Where a booking is made by an employer, training provider, company or another individual on behalf of a candidate, the person or organisation making the booking is responsible for ensuring that the candidate is made aware of all relevant course requirements.
Nothing in these Terms excludes or restricts any statutory right or liability which cannot lawfully be excluded or restricted.
1. BOOKINGS AND PAYMENT
1.1
All bookings are subject to availability and acceptance by SRP Training.
1.2
Prices are subject to change until a booking has been confirmed and the required payment or agreed deposit has been received.
1.3
Unless otherwise agreed in writing, payment must be made in accordance with the payment terms stated at the time of booking.
1.4
Where SRP Training agrees to accept a deposit, instalment arrangement or deferred payment, the customer remains responsible for all amounts falling due under that agreement.
1.5
Failure to attend, participate in, engage with or complete a booked course or qualification does not automatically cancel any outstanding payment obligation.
1.6
The customer and candidate are responsible for ensuring that all information provided to SRP Training is accurate.
This includes the candidate's legal name, date of birth, address, contact details and any information required for registration or certification.
1.7
Where incorrect information supplied by the customer or candidate results in additional administration, re-registration, replacement certification or other costs, SRP Training may charge the reasonable costs incurred.
2. NVQ AND VOCATIONAL QUALIFICATION BOOKINGS
This section applies specifically to NVQs and other portfolio or competence-based vocational qualifications delivered by SRP Training.
2.1 – Nature of the Service
An NVQ is a competence-based assessment service and is not simply the purchase of a certificate or attendance at a course on a particular date.
Following enrolment, SRP Training may undertake work including:
Resources, administration and assessment capacity may therefore be committed from the beginning of the qualification.
2.2 – When an NVQ Is Considered Started
An NVQ will be considered to have commenced once SRP Training begins providing qualification-related services to the candidate.
This may include registration or enrolment, issuing portfolio or learning materials, providing portal access, allocating an assessor, conducting or arranging an induction, assessment planning, reviewing evidence, registering the candidate with an awarding organisation or undertaking another substantive qualification-related activity.
The candidate does not need to have completed an assessment, observation or unit for the qualification service to have commenced.
2.3 – Cancellation and Withdrawal After Commencement
Once an NVQ has commenced, the candidate does not have a contractual right to cancel the qualification and receive a full refund merely because they subsequently decide not to continue.
This includes where the candidate:
Where a candidate withdraws after commencement, SRP Training may retain or recover sums reasonably attributable to services already supplied, work undertaken, resources committed, third-party costs incurred and losses resulting from the cancellation, subject to applicable law.
2.4 – Registration and External Costs
Where SRP Training has registered a candidate with an awarding organisation or incurred other external registration, assessment, certification or administration costs, those costs may be non-recoverable.
Any non-recoverable costs may therefore be taken into account when determining any amount refundable where a refund is legally due.
2.5 – Candidate Non-Engagement
Failure by the candidate to use or engage with the service does not mean that the service has not been supplied or made available.
Where SRP Training has provided or made available an assessor, portfolio, portal, documentation, induction, assessment service or other qualification resources and the candidate chooses not to engage, this will be treated as candidate non-engagement.
Candidate non-engagement does not automatically entitle the candidate to a refund.
2.6 – No Guaranteed Qualification
Payment for an NVQ is payment for assessment and qualification-related services.
It is not payment for a guaranteed qualification or certificate.
The candidate must demonstrate the knowledge, skills and occupational competence required by the qualification.
SRP Training cannot guarantee certification where the candidate fails to satisfy the relevant assessment or awarding-organisation requirements.
3. NVQ COMPLETION TIMESCALES
3.1 – Advertised Completion Times
Any completion period, duration or completion date advertised or communicated by SRP Training for an NVQ or vocational qualification is an estimated timeframe only, unless expressly agreed otherwise in writing.
3.2
SRP Training's advertised completion estimates are based on factors including:
These estimates are provided for guidance and planning purposes only and do not constitute a guaranteed completion date or contractual deadline.
3.3 – Individual Completion Times
NVQs are competence-based qualifications and completion times will differ between candidates.
The time required to complete a qualification may depend upon:

A qualification taking longer than an advertised or estimated timeframe does not, by itself, mean that SRP Training has failed to provide the contracted service.
3.5 – Candidate Responsibility for Progress
Candidates are responsible for completing and submitting the work and evidence required to progress through their qualification.
Any estimated completion period assumes reasonable and continuous candidate engagement.
Delays resulting from candidate inactivity, insufficient evidence, incorrect submissions, requested amendments, missed observations, workplace circumstances or failure to respond to assessor feedback will extend the completion period.
4. ASSESSMENT, REVIEW AND CERTIFICATION TIMESCALES
4.1 – Assessment Reviews
Candidates acknowledge that work and evidence submitted to SRP Training must be reviewed and assessed.
Submission of work does not mean that it has automatically been accepted or that the relevant unit or qualification has been completed.
4.2
An assessor may require:
The time required for assessment reviews and subsequent candidate amendments must be taken into account when considering any estimated completion date.
4.3 – Internal Quality Assurance
Completed assessments may be subject to internal quality assurance before the qualification can progress to certification.
Completion of assessment by the candidate's assessor does not necessarily mean that the qualification is immediately ready for certification.
4.4 – Completion and Certification Are Separate Stages
Completion of the candidate's portfolio, final assessment or SRP Training's internal paperwork does not mean that a certificate will be issued immediately.
Qualification completion, internal verification, certification claims and certificate issue are separate stages of the process.
4.5 – Submission to the Awarding Organisation
Once a qualification has been submitted for certification, SRP Training becomes subject to the procedures, requirements and processing times of the relevant awarding organisation.
The awarding organisation may:

Where an awarding organisation requires additional checks, evidence, information or action, SRP Training and the candidate must allow the relevant process to be completed.
4.7 – Certification Estimates
Any certification timeframe communicated by SRP Training is an estimated processing timeframe only and is not a guaranteed certificate issue date.
4.8 – External Processing
SRP Training cannot control or guarantee the processing time of an awarding organisation, external quality assurance process or other external certification body.
SRP Training will take reasonable steps to progress matters within its control but cannot guarantee the timescale of processes controlled by third parties.
4.9 – External Delays
SRP Training will not be responsible for delays attributable to matters outside its reasonable control, including:
4.10 – Candidate Deadlines and Reliance on Estimates
Candidates should not make employment, contractual or other time-sensitive commitments solely on the basis of an estimated qualification completion or certification date.
This includes:
Where a qualification is required by a particular deadline, the candidate is responsible for allowing sufficient time for assessment, amendments, internal quality assurance, external checks and certification.
4.11
An estimated completion or certification date must not be interpreted as a guarantee that the candidate will hold the qualification or certificate by a particular date.
4.12 – No Automatic Refund Due to Timescale
A qualification exceeding an advertised or estimated completion timeframe does not, by itself, create an automatic entitlement to a refund, cancellation or compensation.
Any entitlement will depend upon the individual circumstances, these Terms and any applicable statutory rights.
5. THIRD-PARTY BOOKINGS
5.1
These Terms apply where a booking is made through a third-party booking platform, broker, employer, training provider or other intermediary where these Terms form part of the booking arrangement.
5.2
Booking through a third party does not remove or alter the candidate's attendance, identification, eligibility, assessment or completion obligations.
5.3
Where another person or organisation books on behalf of a candidate, that person or organisation is responsible for communicating the relevant course and qualification requirements to the candidate.
5.4
Where payment is collected through a third party, cancellations and refunds may additionally be subject to the contractual arrangements governing that transaction and applicable law.
6. CANCELLATIONS – NON-NVQ COURSES
The following cancellation policy applies to courses other than NVQs and other qualifications specifically governed by Section 2.
6.1 – More Than 48 Hours' Notice
Where cancellation is received more than 48 hours before the scheduled course start time, the customer will normally receive a full refund.
6.2 – Less Than 48 Hours
Where cancellation is received less than 48 hours but more than 24 hours before the scheduled course start time, a cancellation charge equal to 50% of the course price will apply.
The remaining 50% will be refunded.
6.3 – 24 Hours or Less
Where cancellation takes place 24 hours or less before the scheduled course start time, no contractual refund will be payable, subject to any statutory right which cannot lawfully be excluded.
6.4 – Non-Attendance
Failure to attend without the required cancellation notice will be treated as a no-show.
No contractual refund will be payable.
Where any part of the course price remains outstanding, the customer remains responsible for amounts properly due under the booking.
7. RESCHEDULING – NON-NVQ COURSES
7.1
Requests to reschedule must be made directly to SRP Training.
7.2 – More Than 48 Hours
Where more than 48 hours' notice is provided, the booking may be transferred to another available date without a rescheduling charge, subject to availability and any course-specific requirements.
7.3 – Less Than 48 Hours
Where less than 48 hours but more than 24 hours' notice is provided, a rescheduling charge equal to 50% of the original course price will apply.
7.4 – 24 Hours or Less
Where 24 hours' notice or less is provided, the original booking will be treated as used.
The candidate will ordinarily be required to pay the full applicable course price to make a new booking.
7.5
All rescheduling requests remain subject to course availability.
8. ATTENDANCE, LATENESS AND NON-ATTENDANCE
8.1
Candidates must satisfy all attendance requirements applicable to their course or qualification.
8.2
Where a course requires full attendance, candidates must attend all required course hours and sessions.
8.3
Candidates are responsible for arriving at the registration or start time stated in their booking confirmation or joining instructions.
8.4
Where a candidate arrives too late to satisfy mandatory course requirements, SRP Training may refuse admission.
8.5
Where a candidate is refused admission because of their own lateness, or cannot complete the course because they have missed mandatory course hours, no contractual refund will be payable.
8.6
The same principle applies where a candidate:

Where the candidate needs to attend another course as a result, a new course fee or applicable rescheduling charge may be payable.
8.8
Candidates are responsible for allowing sufficient travel time.
Traffic, public transport delays, parking difficulties, work commitments, forgetting the booking or misunderstanding a clearly communicated start time will not ordinarily entitle the candidate to a refund where SRP Training was ready and available to deliver the booked service.
9. IDENTIFICATION AND ELIGIBILITY
9.1
It is the customer's and candidate's responsibility to check all entry, identification, occupational and eligibility requirements before booking.
9.2
Candidates must provide identification and documentation required by SRP Training, the awarding organisation or relevant examination or certification body.
9.3
A candidate who cannot provide acceptable mandatory identification may be refused admission, registration, assessment or examination.
9.4
Where a candidate cannot participate because they failed to provide mandatory identification or eligibility documentation, SRP Training may require a new booking or charge the reasonable costs associated with rescheduling.
9.5
Candidates are responsible for checking that their legal name and other personal information are correct before registration and certification.
9.6
Where incorrect information supplied by the candidate results in certificate amendment, replacement or re-registration, the candidate may be charged the reasonable costs incurred.
10. JOINING INSTRUCTIONS AND COMMUNICATIONS
10.1
Booking confirmations, joining instructions and other important communications may be issued by email, text message, telephone, online portal or through the relevant booking provider.
10.2
Customers are responsible for providing accurate contact information.
10.3
Customers must check their email inbox and spam/junk folders for booking communications.
10.4
Failure to read a booking confirmation or joining instruction does not automatically release the customer from the booking where SRP Training can demonstrate that the relevant information was properly sent or otherwise made available.
10.5
Customers should contact SRP Training promptly where expected joining instructions have not been received.
11. TRANSFER OF BOOKINGS
11.1
For eligible scheduled courses, SRP Training may permit a booking to be transferred to another eligible candidate before the course begins.
11.2
Transfers remain subject to eligibility requirements, registration deadlines, availability and awarding-organisation requirements.
11.3
An NVQ registration cannot automatically be transferred to another person once registration, onboarding or assessment activity has commenced.
12. COURSE CHANGES AND CANCELLATION BY SRP TRAINING
12.1
SRP Training may make reasonable changes to trainers, assessors, rooms, venues or delivery arrangements where necessary to deliver the booked service.
12.2
Where reasonably possible, candidates will be informed of significant changes.
12.3
SRP Training may postpone or cancel a course due to trainer illness, venue problems, insufficient candidate numbers, awarding-organisation requirements or circumstances outside our reasonable control.
12.4
Where SRP Training cancels a course and cannot provide the contracted service or a mutually agreed alternative, the customer will receive the refund or other remedy required by applicable law.
12.5
To the extent permitted by law, SRP Training will not be responsible for indirect costs incurred solely because a course has been reasonably postponed or rescheduled due to circumstances outside SRP Training's reasonable control.
13. COURSE TIMES AND DURATION
13.1
Course durations and times displayed on our website, booking platforms, emails or other literature are for general guidance unless expressly stated otherwise.
13.2
Course duration may vary according to class size, candidate experience, assessment requirements, examination arrangements and circumstances arising during delivery.
13.3
SRP Training will comply with mandatory guided learning, attendance and delivery requirements imposed by the relevant awarding organisation or scheme.
14. CONDUCT AND ABUSE
14.1
SRP Training operates a zero-tolerance approach towards threatening, abusive, discriminatory, intimidating or seriously disruptive behaviour.
14.2
SRP Training may remove a candidate where their behaviour:

Where removal results from the candidate's serious misconduct, the candidate will not automatically be entitled to a refund.
Any refund entitlement will be determined according to applicable law and the circumstances of the booking.
15. CERTIFICATION
15.1
Certificates will only be issued where the candidate has satisfied all applicable course, assessment, examination, identification and awarding-organisation requirements.
15.2
SRP Training does not guarantee that every candidate will successfully complete or pass a course, assessment, examination or qualification.
15.3
Where certification is controlled by an external awarding organisation, SRP Training cannot guarantee an exact certificate issue date.
15.4
Digital certificates may be sent to the email address held for the candidate.
Candidates are responsible for checking their inbox and spam/junk folders.
15.5
Where a physical certificate is posted, the candidate is responsible for providing an accurate postal address.
15.6
Where a certificate requires replacement because it has been lost, damaged or because incorrect information was supplied by the candidate, replacement and administration charges may apply.
16. ON-SITE / IN-HOUSE TRAINING
16.1
These Terms also apply to training delivered at a customer's premises or another nominated location.
16.2
The customer is responsible for ensuring that:

Where training cannot proceed because the customer has failed to provide the agreed facilities, access, candidates or other essential arrangements, SRP Training may charge the reasonable costs and losses resulting from the aborted delivery.
16.4
Cancellation, rescheduling, lateness and non-attendance provisions contained in these Terms continue to apply to on-site training.
17. TRAINING PROVIDERS, EMPLOYERS AND CORPORATE BOOKINGS
17.1
Where another training provider, employer, company or organisation purchases services from SRP Training, any separately agreed commercial terms will apply alongside these Terms.
17.2
Unless expressly agreed otherwise in writing, the person or organisation making the booking is responsible for payment.
17.3
Failure by that organisation to collect payment from its own customer, employee or candidate does not remove its obligation to pay SRP Training.
17.4
SRP Training may suspend future bookings or services where undisputed invoices remain overdue.
18. PAYMENT DISPUTES AND CHARGEBACKS
18.1
Customers who believe a payment has been taken incorrectly or who dispute the service supplied should contact SRP Training promptly so that the matter can be investigated.
18.2
The raising of a card dispute or chargeback does not itself determine whether a contractual payment remains due.
18.3
Where a payment dispute or chargeback is raised, SRP Training may provide relevant evidence to the card issuer, bank, payment processor, booking platform or other relevant party.
This may include:

Where a chargeback is raised after services have been supplied, SRP Training reserves the right to provide evidence of the services supplied and, where legally appropriate, pursue any outstanding contractual amount through the appropriate recovery process.
18.5
Nothing in this section prevents a customer from exercising a genuine statutory or contractual right to dispute a transaction.
19. REFUNDS
19.1
Where a refund is properly due, it will normally be returned to the original payment method.
19.2
SRP Training may undertake reasonable verification before issuing a refund to protect against fraud and payment errors.
19.3
Any refund will be calculated in accordance with the cancellation provisions applicable to the particular course or qualification and the customer's statutory rights.
20. CONSUMER AND STATUTORY RIGHTS
20.1
Nothing in these Terms excludes, restricts or attempts to remove any statutory right or remedy which cannot lawfully be excluded.
20.2
Where a consumer is legally entitled to cancellation, refund, repeat performance, price reduction or another statutory remedy, these Terms will be interpreted subject to those rights.
20.3
Where any provision of these Terms conflicts with a mandatory statutory right, the statutory right will prevail without invalidating the remainder of these Terms.
21. LIABILITY
21.1
SRP Training will provide its services with reasonable care and skill.
21.2
SRP Training cannot be responsible for matters outside its reasonable control, including delays caused by awarding organisations, external quality assurance, certification bodies, examination bodies or third-party systems.
21.3
To the extent permitted by law, SRP Training will not be responsible for losses arising solely because a candidate:

Nothing in these Terms excludes or limits liability where doing so would be unlawful.
22. SEVERABILITY
If any provision of these Terms is found by a court or competent authority to be unlawful, invalid or unenforceable, that provision shall be treated as modified to the minimum extent necessary to make it enforceable or, where modification is not possible, removed.
The remaining provisions will continue to apply.
23. GOVERNING LAW
These Terms and Conditions and the contractual relationship between SRP Training and the customer are governed by the laws of England and Wales, subject to any mandatory rights available to consumers under applicable law.
24. ACCEPTANCE OF TERMS
By proceeding with a booking or making or authorising payment after being provided with these Terms and Conditions, the customer confirms that they have had the opportunity to read and understand them and agrees to be bound by them.
